Job Description

We are looking for a HR & Office Operations Specialist to join our People & Culture team in Kraków. In this role, you will help ensure a positive employee experience and the smooth day-to-day running of the Polish branch. You will combine HR administration with office operations, financial coordination, vendor management, and employee benefits administration. As the main point of contact for people, office, and operational matters in Poland, you will work closely with managers, accounting and legal teams, employees, and external partners. You might also act as a commercial proxy for the local entity, signing contracts and official documents and supporting everyday business activities.

Responsibilities

In this role, you will

  • Manage the full employment and B2B lifecycle documentation, including onboarding, contracts, amendments, and terminations, and advise managers to ensure 100% compliance with Polish labour law and BHP standards
  • Review, approve, and sign business contracts, official correspondence, employee business trip orders, and monthly copyright cost reports
  • Oversee the verification and approval of recurring invoices within the KSeF system, track the local administrative budget, and work closely with internal and external accounting and legal teams
  • Coordinate relationships with local vendors and service providers, negotiate contracts, and fully administer employee benefit programmes, including Medicover Health, Medicover Sport, and Life Insurance
  • Manage employee benefit portals, including adding and removing team members, processing programme changes, and preparing the required data and reports for accounting
  • Oversee daily workplace logistics, office supplies, catering, building entrance cards, parcels, and maintenance matters
  • Support employee experience and company culture by organising local events, celebrations, gifts, and employee care initiatives
  • What you will bring

  • Practical experience in HR administration, office operations, or a similar role in Poland
  • Strong working knowledge of Polish labour law and B2B contract structures
  • Experience preparing and managing employment documents and B2B agreements
  • Experience handling invoices and tracking office or administrative expenses, ideally using KSeF
  • A proactive and hands-on approach to both administrative responsibilities and daily office needs
  • Attention to detail and confidence working with documentation, reports, and financial records
  • The ability to work independently and manage several areas of responsibility
  • Strong organisational and analytical skills
  • Fluency in both Polish and English languages, written and spoken
