Our client is a unique marketing agency providing end-to-end lead gen services for a focused client base.
Each of their 50 employees understand they are a performance-based agency, which means their monthly client revenue increases when they win. Winning big usually hinges on their ability to provide high-performing direct-response ads, landing pages that convert, and nurture sequences that move leads toward conversion.
As Executive Assistant you sit at the intersection of executive leadership, data, and project oversight—helping the co-founders communicate, delegate, and oversee executive initiatives that drive measurable results. You'll collaborate closely with the co-founders and internal teams including media buying, analytics, devopsengineering, clients, and external vendors to ensure alignment on business growth.
Your ability to combine strategic thinking with exceptional communication and follow-through will be critical to achieving sustainable growth.
An ideal candidate possesses executive presence, strong communication skills, some marketing and analytical acumen, and the ability to proactively support the co-founders with organization and detailed follow-through.
Responsibilities
- Serve as the primary point of contact between co-founders, employees, and external partners.
- Proactive Management of executive email, calendars, project management, and coordinate travel arrangements.
- Proactively find ways to free up the co-founders and enable the pursuit of new opportunities.
- Take meeting minutes and follow up on action items.
- Proof read marketing content with your lens of marketing experience to catch misses and recommend enhancements.
- Help hold direct reports accountable and ensure proper meeting rhythms.
- Be the primary contact for staff inquiries (payroll, holidays, sick leave).
- Conduct market research pre-defined using tools and processes.
- Compile data, and create concise summaries, reports, or presentations needed for high-level decision-making.
- Cross-check expense receipts, reimbursements, and other financial project management.
- Create contracts for new hires and facilitate signatures.
- Assist in long-term planning and special projects.
- Help the co-founders maintain strong relationships of trust with a variety of important contacts.
- Anticipating Needs - Thinking several steps ahead to prepare materials, information, and logistics for upcoming meetings, travel, or projects before the executive even asks.
- Project Management
Salary: $2000 / month
Type of Work: Full-time remote
Work Schedule: USA business hours
Requirements
- In depth background in a remote set-up of work similar to freelancing as an Independent Contractor (deep understanding on the pros & cons involved in this industry).
- 3+ years of experience as an Executive Assistant.
- 2-5 years of marketing experience (or equivalent education).
- Fluent in English with strong communication and writing skills.
- Ability to multi-task, prioritize, and follow through on various responsibilities.
- Experience managing calendars, emails, meetings, and travel arrangements.
- Familiarity with project management tools like ClickUp, Asana, or Trello.
- Strong problem-solving skills and a high attention to detail.
- Extensive experience with Project Management
- Reliable internet connection and consistent availability during designated hours.
