Job Summary:

The Driver Onboarding Specialist plays a crucial role in ensuring a smooth and efficient onboarding process for new drivers. This role involves coordinating with driver applicants, verifying documentation, assisting with compliance requirements, conducting virtual orientations, and ensuring drivers are fully prepared to begin trips under company standards.

You will work closely with U.S. operations, compliance, and internal teams to maintain a consistent driver onboarding experience that aligns with NEMT regulations and company policies.

Key Responsibilities:

  • Manage the end-to-end driver onboarding process, from initial contact to activation.
  • Conduct screening calls and interviews to assess driver suitability.
  • Guide driver applicants through document submission, including licenses, insurance, background checks, and other compliance requirements.
  • Verify driver credentials and ensure all information is accurate and up-to-date in internal systems.
  • Coordinate with the Compliance and Operations teams to ensure all onboarding steps meet NEMT and state regulations.
  • Schedule and conduct virtual orientation sessions for newly approved drivers.
  • Maintain accurate onboarding records and track progress using CRM or ATS tools.
  • Provide timely updates and feedback to candidates throughout the process.
  • Recommend process improvements to enhance driver experience and onboarding efficiency.
  • Assist with driver engagement initiatives such as communication updates, surveys, or check-ins.

Requirements

  • At least 2 years of experience in driver onboarding, recruitment, dispatch, or logistics coordination (preferably in a U.S.-based or BPO setting).
  • Strong understanding of transportation or NEMT operations is an advantage.
  • Excellent English communication skills (verbal and written).
  • Proficient in using Google Workspace (Docs, Sheets, Drive), CRM systems, or onboarding platforms.
  • Strong attention to detail and ability to handle sensitive information confidentially.
  • Excellent organizational and time management skills — able to handle multiple onboarding cases simultaneously.
  • Comfortable working with U.S. time zones (EST).
  • Reliable internet connection and quiet workspace suitable for remote meetings.

Preferred Skills (Nice to Have):

  • Experience with NEMT software platforms.
  • Familiarity with U.S. driver requirements such as background checks, insurance verification, and HIPAA awareness.
  • Prior experience in recruitment coordination or virtual HR operations.
