We’re looking for a high-level Virtual Assistant to help streamline operations, manage priorities, and support leadership in running day-to-day workflows.

You’ll handle a blend of administrative, operational, and communication responsibilities — ensuring projects move forward, details stay organized, and the team operates efficiently. This role requires someone who’s highly organized, proactive, and comfortable managing multiple moving parts in a fast-paced, remote environment.

What You’ll Work On

Executive & Operations Support

  • Manage scheduling, meetings, and task coordination for leadership or department heads
  • Prepare meeting agendas, take notes, and track follow-up actions
  • Maintain and update internal systems, trackers, and documentation
  • Handle light email management and follow-ups, ensuring priorities stay aligned
  • Coordinate across teams to keep communication clear and tasks on track

Project Coordination & Process Support

  • Support ongoing projects by managing deliverables, timelines, and dependencies
  • Create summaries, briefs, and updates for the team or leadership
  • Help set up and refine internal workflows for smoother day-to-day operations
  • Research and consolidate information for decision-making or planning

Content & Communication Assistance

  • Draft and format internal communications, presentations, or reports
  • Support light content coordination (e.g., formatting newsletters, updating documents)
  • Create simple visual assets using Canva or Figma when needed

What You Bring

  • 3+ years of experience as a Virtual Assistant, Executive Assistant, or Operations Coordinator
  • Excellent English communication skills (written and verbal)
  • Highly organized, detail-oriented, and able to manage multiple priorities
  • Proficient with Google Workspace, Notion, Slack, and project management tools
  • Resourceful and tech-savvy — able to learn new systems and workflows quickly
  • Comfortable with partial overlap with U.S. time zones for coordination and check-ins

Nice to Have

  • Background in operations, marketing, or executive support
  • Familiarity with content scheduling tools (Buffer, Later, or Hootsuite)
  • Experience preparing reports, summaries, or light data tracking
  • Long-term interest in operations, systems, or project management growth
