SeeBeyondBorders is an Australian not-for-profit charity working in Cambodia, focused on teacher training and children's education programs. The Australian team is small but driven, and the CEO oversees a broad remit spanning recruitment, compliance, governance, board management, fundraising, and sector networking. This role exists to support the CEO directly, helping her manage a growing workload and a busy inbox.

Role Overview

We are looking for an experienced Executive Assistant with Personal Assistant capabilities to support the CEO of SeeBeyondBorders. The ideal candidate is organised, proactive, discreet, and comfortable wearing multiple hats. You will manage communications, coordinate admin, support fundraising outreach, and help bring structure to a fast-moving executive schedule.

Key Responsibilities

Inbox & Calendar Management

  • Take ownership of the CEO's email inbox — label, filter, and organise so priority items are immediately visible.
  • Draft and send emails on behalf of the CEO, including fundraising outreach to prospect lists.
  • Manage calendar scheduling, set up meetings, and send reminders.

Fundraising & Donor Outreach

  • Send targeted outreach emails (10-15 per week) to prospect contacts using messaging and copy provided by the CEO.
  • Track outreach activity and follow up as directed.
  • Assist with data entry and maintenance in Raisly (fundraising CRM) as needed.

General Administration

  • Process expense claims and reimbursement forms based on receipts provided by the CEO.
  • Handle a variety of ad hoc admin tasks to free up the CEO's time.
  • Assist with policy writing, document formatting, and internal communications as required.

Tools & Systems Support

  • Support the migration of legacy data from Salesforce into Monday.com to consolidate CRM and task management.
  • Help the organisation become more robust in Monday.com for project and task tracking.
  • Work within the Google Suite (Gmail, Drive, Docs, Sheets, Calendar) as the primary toolkit.

Requirements

Essential

  • Minimum 3-4 years of experience in an executive assistant, PA, or senior admin role.
  • Strong written English — able to draft professional emails and correspondence independently.
  • Highly organised with excellent attention to detail.
  • Comfortable working with Google Suite (Gmail, Drive, Docs, Sheets, Calendar).
  • Proactive, reliable, and able to manage tasks with minimal supervision.
  • Able to overlap with Australian Eastern Standard Time (AEST) for meetings and check-ins.

Advantageous (Not Required)

  • Familiarity with Monday.com for task and project management.
  • Experience with Raisly or similar fundraising/CRM platforms.
  • Prior experience supporting a CEO or senior executive in a not-for-profit environment.
•Understanding of child protection policies and NGO compliance frameworks.
