Job Title: Executive Assistant / Operations Coordinator

Job Type: Part-time / Remote

Work Hours: Overlap in U.S. Eastern or Central hours

Duration: 6 months (with potential for long-term extension)

Job Overview:

We’re helping our client, a creative studio, on a mission to build a joyful, culturally grounded learning world where Black children see themselves as heroes.

They blend play, storytelling, and bold design to make learning feel like play. Their work centers on Black joy, representation and excellenceand they’re looking for a mission-driven, creative, and organized professional to serve as the right hand to the CEO managing operations, communication and project flow to help the studio punch above its weight.

Responsibilities:

Executive & Administrative Support

  • Manage the CEO’s calendar, appointments, and priorities.
  • Draft, sort, and respond to emails and key messages.
  • Prepare briefing documents, meeting agendas, and follow-ups.

Operations & Project Coordination

  • Coordinate logistics for events, partnerships, and launches.
  • Track project timelines, deliverables, and dependencies.
  • Manage document organization, vendor coordination, and contracts.

Communication & Content Support

  • Assist with shaping and scheduling social media, newsletters, and announcements.
  • Serve as liaison between internal teams, partners, and collaborators.
  • Support with drafting, editing, and outreach communications.

Special Projects & Ad Hoc Support

  • Jump in on cross-functional work across product, design, and marketing.
  • Conduct research, data gathering, and prep materials.
  • Proactively anticipate needs and take initiative to address them.

Requirements

  • 3+ years supporting executives (preferably in startups, social enterprises, or creative organizations).
  • Exceptional organization, follow-through, and attention to detail.
  • Excellent written and verbal communication skills.
  • Strong proficiency in tools such as Google Workspace, Asana, Slack, Canva, CRM platforms, social media tools (Instagram, Facebook, YouTube), LinkedIn, Wix, Calendly, Shopify, and Printify.
  • Self-starter attitude with a proactive approach.
  • Passion for culture, joy and representation.
  • Ability to work independently in a remote, cross-time-zone environment.
  • Familiarity with e-commerce best practices.
  • Background in media, edtech, or creative production workflows.
