The New Hire Compliance Manager is responsible for overseeing, executing, and auditing the continuous identity and physical location verification processes across the remote employee life cycle. Grounded in the corporate Identity & Location Verification SOP, this role ensures strict adherence to pre-hire validation, onboarding checks, continuous monitoring using advanced technology (Sentinel Vision, Zscaler, Webex Console, and Yubikey biometric hardware tokens), exception management, and client incident reporting.

Key Responsibilities & Duties

Lifecycle Identity & Location Assurance

  • Pre-Hire & Onboarding Audit: Oversee multi-point identity validation during recruitment (video interview image capture, SHL behavioral assessment photo capture, and Webex-based I-9 document verification via Sterling Portal).
  • Day 1 New Hire Orientation (NHO): Monitor individual breakout identity checks, ensure camera visual verification matches stored I-9 records, and oversee Webex Admin Console IP and geographic location checks.
  • Training-Stage Verification Governance: Audit daily training identity checks to ensure 100% trainee camera verification against enrolled reference photos, and oversee mandatory go-live identity gate audits.
  • Quarterly & Event-Driven Revalidation: Direct 100% coverage quarterly identity validation across active operations teams, ensuring timestamped visual ID card checks, and photo captures are logged.

Continuous Technology & Hardware Monitoring

  • Sentinel Vision Monitoring Oversight: Manage operational compliance for the Sentinel Vision (Lite) continuous workstation monitoring system, tracking alerts for loss of face match, multi-person frame detection, and screen recording activity.
  • Physical & Hardware Audits: Enforce physical location checklist audits, including PC/monitor asset tag verification, wall outlet types, ISP modem validation, travel router/VPN checks, and phone verification.
  • Alternative Token Governance: Oversee the biometric Yubikey opt-out program for clients prohibiting Sentinel deployment, ensuring in-person/on-camera enrollment standards.

Exception Management & Incident Escalation

  • Incident Response & Investigation: Act as the primary compliance point of contact when identity or location discrepancies occur. Immediately pause training/system access, perform trigger escalation and create iSmart IT Incident (INC) tickets for Information Security.
  • Client & Executive Notification: Lead rapid escalation protocols, ensuring immediate notification to Account Teams for confirmed or suspected impersonation cases.
  • Cross-Functional Coordination: Collaborate with InfoSec, IT/Logistics, Asset Recovery, Talent Acquisition, Service Delivery, and HR to resolve access/location violations within defined SLAs (e.g., 24-hour escalation targets).

Compliance Governance, Data Security & Reporting

  • Record & Evidence Management: Ensure all timestamped evidence records, photo captures, and audit trails are securely maintained in eDMS (and interim Smartsheet logs) in compliance with 90-day retention policies.
  • Performance & Risk Reporting: Consolidate findings across all identity-verification checkpoints into monthly Performance & Risk Reports for executive review.
  • Threat Intelligence Reviews: Participate in threat-intelligence reviews to evaluate emerging remote impersonation risks and recommend control enhancements.

Requirements

  • Education: Bachelor’s degree in business administration, Human Resources, Criminal Justice, Information Security, Compliance, or related field.
  • Minimum of 1 to 3 years of experience in Talent Management, Recruitment, or HR Operations, with demonstrated leadership in US HR program delivery.
  • Soft Skills: Exceptional attention to detail, strong analytical and investigative skills, firm adherence to ethical standards ability to manage sensitive HR data with integrity. Proficiency in MS Office tools and data privacy guidelines, and strong executive communication skills.
