What you will do:

As a Media Coordinator, you’ll be the operational hub for all photoshoot and video production activities, ensuring everything runs smoothly from planning to delivery. You’ll coordinate logistics, manage talent and vendor relationships, and organize assets with precision, all while keeping creative vision and project goals at the forefront. You’re passionate about seamless execution and detail-oriented planning, with a knack for balancing creativity and operational efficiency. With strong organizational skills and proactive problem-solving, you thrive in fast-paced environments and enjoy ensuring every project is delivered on time, on brand, and to the highest standard.

Responsibilities:

• Coordinate and manage all logistics for photoshoots and video productions, including booking stylists, hair/makeup artists, production assistants, gaffers, and other crew members.
• Source models and talent, liaise with agencies, place holds, secure bookings, and process payments.
• Book and organize travel, accommodation, and other arrangements for talent.
• Maintain and update talent databases, including ‘Approved’ and ‘Do Not Shoot’ lists.
• Coordinate and support model, talent, and community castings for specific campaigns.
• Collaborate with the Creative Producer to develop shot lists and call sheets for productions.
• Organize and manage all digital creative assets, following protocols for uploading, labeling, tagging, archiving, and delivering files.
• Ensure final media deliverables are accurately accounted for, organized, and delivered to cross-functional teams on time.
• Contribute to brainstorming and concept development sessions, proposing innovative ideas, scripts, and content strategies for campaigns and social channels.
• Act as the primary point of contact for external partners and talent, ensuring clear communication and smooth coordination throughout projects.

• 2+ years of experience in media production, photography coordination, or a similar creative operations role, ideally within a brand, agency, or e-commerce environment.
• Proven experience coordinating and managing photoshoots and/or video productions with creative teams and external vendors.
• Bachelor’s degree in Marketing, Communications, or related field (or equivalent experience).
• Expert organizational skills with meticulous attention to detail, especially in scheduling and executing complex logistical plans.
• Fluent in English with advanced written communication skills.
• Strong verbal communication skills and confidence acting as the primary point of contact for external partners.
• Proactive, solutions-oriented mindset with the ability to troubleshoot and problem-solve under tight deadlines.
• Advanced English level (C1/C2)
