Job Description

SUMMARY

Provide experienced security actions processing and records support for the Industrial Security Team as directed by the Corporate Facility Security Officer (FSO) and the industrial security department. The Industrial Security Representative is responsible for the administrative support of routine clearance actions and follow-up using government tracking systems (i.e., DISS, NBIS), provides support-level assistance for personnel clearance actions, and maintains complete, accurate, audit-ready security documentation. The position works under FSO direction and escalates matters requiring program authority, policy interpretation, or independent security judgment.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Perform routine personnel data entry in support of security actions contained in the Defense Information System for Security (DISS), including creating and updating personnel records, verifying employee information, maintaining affiliations and access as directed, monitoring eligibility and outstanding actions, generating routine reporting, monitoring status and other actions as required, collecting required information of cleared persons CAC card processing, and processing visit authorization requests (VARs).
    • Initiate, review, and track background investigation and reinvestigation cases through the National Background Investigation Services (NBIS) and DISS, including coordinating required forms, fingerprints, signatures, corrections, and supporting information.
    • Review personnel security forms (e.g., Standard Form 86 (SF86), foreign travel notifications, etc.) and submissions for accuracy, completeness, and consistency before routing or submission through applicable government systems.
    • Follow up with employees regarding incomplete or inaccurate information, required training, and outstanding security actions.
    • Track clearance cases from initiation through completion; communicate status, requirements, and next steps to applicants, employees, managers, and security leadership.
    • Prepare and process VARs through DISS or the appropriate manual process.
    • Maintain accurate electronic security records, case notes, trackers, and support documentation in accordance with regulatory requirements, company procedures, and records management practices.
  • Coordinate with Human Resources and Operations teams regarding cleared new hires, transfers, terminations, access changes, and other routine personnel security actions.
  • Prepare reports and documentation for the AFSO/FSO and support internal reviews, self-inspections, and DCSA assessments by gathering and organizing requested records.
  • Provide basic guidance to internal employees on clearance processing and security requirements; refer policy questions, reportable matters, unusual cases, and issues outside delegated authority to the AFSO/FSO.
  • Support distribution and tracking of security awareness materials and required security training and related records.
  • Protect Personally Identifiable Information (PII), Controlled Unclassified Information (CUI), and other sensitive security information.
  • Maintain regular and punctual attendance.
  • Perform other duties as assigned.

Requirements

MINIMUM QUALIFICATIONS

  • High School Diploma or GED.
  • Minimum of three years of hands-on experience in personnel security, industrial security, clearance processing, or a closely related DoD or cleared-contractor security environment.
  • Active DoD Secret security clearance; must be able to maintain the clearance and any necessary security access and/or background checks (generally, U.S. Citizenship required).
  • Hands-on working experience with DCSA systems, including DISS, NBIS, and basic familiarity with NISS. DISS and NBIS experience must include routine clearance-processing actions; NISS experience may be at a support level.
  • Working knowledge of personnel clearance processing and DCSA requirements, with the ability to manage routine cases and recognize matters requiring AFSO/FSO review.
  • Experience maintaining detailed, sensitive, and audit-ready personnel security records.
  • Experience protecting and safeguarding PII and CUI.
  • Proficiency with Microsoft Outlook, Excel, and Word; experience using databases, trackers, and web-based data systems.
  • Ability to complete position-specific DCSA/CDSE training as assigned within six months of hire.

DESIRED QUALIFICATIONS & SKILLS

  • Experience supporting multiple cleared entities or facilities in a federal contracting environment.
  • Familiarity with 32 CFR Part 117 (NISPOM), continuous vetting, reportable events, and visit processing.
  • Experience supporting self-inspections, internal reviews, or DCSA assessments by preparing records and documentation.
  • Completed relevant CDSE training.
  • Exceptional attention to detail, organization, follow-through, and records management skills.
  • Ability to recognize missing, inconsistent, or inaccurate information and obtain timely corrections.
  • Ability to independently manage routine work, meet deadlines, and appropriately escalate matters outside assigned authority.
  • Ability to explain security processes clearly and professionally to employees and managers.
  • Discretion and sound judgment when handling sensitive personal and security information.
  • Strong written, verbal, analytical, and interpersonal communication skills.
  • Collaborative, service-oriented approach when working with Security leadership, Human Resources, Operations teams and individual employees.

WORK SCHEDULE

Full-time. May be required to work additional hours as needed to complete assignment or project.

TRAVEL

Potential for travel for training. When required, employee will need to complete an MVR check.

DRIVING REQUIREMENTS

Must have or be able to attain a valid state driver’s license and be insurable on the company’s automobile insurance policy. Driving, with or without accommodation, may be required when traveling for training and/or short occasional amounts of local driving. The expected driving time is less than 5%.

WORK ENVIRONMENT

Work is expected to be remote; however, the company reserves the right to require onsite work.

PHYSICAL DEMANDS

Position consists of seeing up close and sitting for long periods of time, bending, stooping, crouching, and lifting up to 10 pounds. Frequently uses hands/fingers for manipulation of keyboard and mouse.
