We are looking for an Executive Assistant to partner directly with our Co-Founder and President, Dr. Sarah Oreck.

Dr. Oreck is a board-certified reproductive psychiatrist, a company founder, a frequent speaker and media voice, and a mother of three. This is not an entry-level coordination role. We're looking for someone who has supported a startup founder or C-suite leader before, who knows how to adapt when priorities shift three times in a week, and who builds the systems that keep an executive ahead of it rather than buried under it.

This is a fully remote role. You'll need to be available during Pacific Time core hours and responsive when something time-sensitive comes up outside them.

The Executive Assistant will:

  • Own the CEO's calendar end-to-end- scheduling, prioritizing, resolving conflicts, and protecting time for deep work and clinical hours
  • Manage a high-volume inbox: triage what comes in, flag what needs her, and draft responses on her behalf
  • Prepare briefing materials, agendas, and background research ahead of leadership, partner, payer, and press meetings
  • Capture notes and action items, then drive follow-up to closure across the leadership team
  • Book and manage all travel, including itineraries, ground transportation, and contingency plans
  • Manage inbound speaking, podcast, panel, and media requests - vetting, scheduling, prep, and logistics
  • Coordinate leadership meetings, offsites, and all-hands logistics
  • Process expenses, manage vendor and subscription accounts, and maintain organized digital filing systems
  • Support board and reporting logistics, including materials prep and deadline tracking
  • Provide a defined level of personal scheduling and logistics support, coordinating the practical overlap between a founder's professional and personal calendars
  • Take on special projects that free up executive bandwidth - research, drafting, process design, and cleanup work
  • Be comfortable wearing multiple hats - even those that don't fit squarely and traditionally within your job description, because hey, we're a startup!

Requirements

  • 5+ years supporting senior executives, including at least 2 years directly supporting a founder or C-suite leader at an early- or growth-stage startup
  • Demonstrated success in a fully remote role - you know how to build trust and stay in sync without an office
  • Exceptional attention to detail. You proofread; you double-check
  • Strong written and communication skills. You can draft an email in someone else's voice and have it land correctly
  • Sound judgment and comfort with ambiguity. You make decisions, escalate the ones that need input, and operate with autonomy 
  • Absolute discretion with confidential information - company, financial, and personal
  • Self-starter with a "no problem is too big or too small" attitude
  • Fluency with Google Workspace, Slack, and modern scheduling and project management tools; quick to learn new systems or implement ones that are beneficial for productivity
  • Availability during Pacific Time core hours
  • Passion for women's healthcare, maternal healthcare, and/or mental healthcare - and the desire and drive to change the dismal status quo
